Position Description

We are looking for a full-time staff, Proposal Coordinator to join our Day & Zimmermann team.

 

Proposal Coordinator works under the guidance of Proposal Managers to execute the company’s proposal process and implement capture strategies for customer Requests for Proposals (RFP) or other solicitations. The Proposal Coordinator supports administrative and logistical aspects of the proposal process, including but not limited to scheduling team meetings, assisting with pipeline management, monitoring client portals, documenting and communicating action items, creating/managing proposal-related content on SharePoint, and building draft documents using existing boilerplate and templates.

As the Proposal Coordinator, here’s the work you’ll do:

• Work with Proposal Managers and pursuit team members to define and follow proposal schedules, create compliance, and content matrices, and update internal record systems and document repositories in accordance with company procedure and policy

• Work with members of the pursuit team to draft and edit proposal-related content, maintain updated versions in the document management system (SharePoint-based), and perform other desktop publishing, editing, and formatting tasks using Adobe Acrobat (PDF) and Microsoft Office products such as Word, PowerPoint, and Excel

• Coordinate and schedule pursuit team kickoff, status, and executive level review meetings. Help the Proposal Manager incorporate edits and distribute documents for review. Monitor and update the internal customer relationship management system (Salesforce) as well as external client portals and distribute information to relevant team members promptly

This role is for you if you have these skills:

• Excellent written and oral communication, presentation, and interpersonal skills

• Highly organized and able to manage multiple tasks involving various groups of people while meeting deadlines under pressure

• Critical thinker who can research, develop, and present complex data or information clearly and concisely

• Strong team player who can work with individuals at various levels of the company to gather information, incorporate feedback, and pitch in where needed to deliver results

• Highly skilled with MS Office programs (Word, Excel, PowerPoint, SharePoint) and Adobe Acrobat

And if you have these qualifications:

• HS Diploma required, Degree in Marketing/Writing/Journalism preferred

• 2-5 years’ experience working with service-oriented sales or in a B2B environment

• Experience with Salesforce software preferred

 

In compliance with this state’s pay transparency laws, the salary range for this role is $57,200 - $85,800 This is not a guarantee of compensation or salary, as final offer amount may vary based on factors including but not limited to experience and geographic location. (The specific programs and options available to an employee may vary depending on date of hire, schedule type, and the applicability of collective bargaining agreements).
