Position Description

We’re looking for a I-9 Compliance Representative to join the Day & Zimmermann team located in Philadelphia.

 

The I9 Representative is responsible for verification of employee's Form I-9 at both time of hire/rehire as well as for reverifications. This position is held by someone deeply knowledgeable about the Form I-9 and its supporting documents, and thus instills confidence in our new hires as they begin their employment with D&Z. This position operates as part of a team, ensuring that there is sufficient coverage for all new hires/rehires to be able to quickly and seamlessly complete Form I-9 at a time that is convenient for them. This means that the team members do not necessarily operate on typical east coast business hours - expanded hours coverage is critical to meeting the employee needs and for this to be a successful team. As part of the larger HR Compliance team, this position will be expected to act as a backup to various other areas of the team's responsibilities, depending on need. This position will focus on employee needs with a commitment to quality and customer service; handling all interactions in a professional manner and driving employee engagement as one of the first touch points an employe has with the company.

 

As the Representative, I9, here’s the work you’ll do:

  • Complete virtual I9 verification for all new hires, rehires, and needed reverifications. Includes providing guidance to employees completing Section 1 of the I-9 paperwork, or providing guidance on acceptable documents for Section 2. This includes supporting gathering updated documents for those employees providing receipts and otherwise ensuring that all compliance needs for the Form I-9 are met. This position is responsible for keeping our I9 system "clean" of bad data and data inconsistencies or incomplete information.
  • Respond to employee inquiries regarding process, general policies and procedures regarding HR Compliance areas of responsibility, but with particular focus on Form I9. Support the Unemployment Claims process for the Businesses as needed. Partner with the HR Compliance team, BU, and vendor to make sure all claims completed by given deadlines.
  • Complete periodic data audits to ensure overall I9 compliance levels and system maintenance is being maintained.
  • Provide coverage as needed for other areas of HR Service Delivery, participate in projects and system improvement initiatives, and perform other duties as assigned.
  • Comply with and administer Data Privacy policies, principles and procedures. Maintain customer and employee confidence and protect operations by ensuring the minimal, secure, approved, responsible, and confidential handling of data, as well as breach notification.

  • Excellent verbal and written communication skills. Ability to communicate over the phone with ease, even in difficult situation
  • Impeccable attention to detail and excellent organizational skills
  • Knowledge of Form I-9 and the appropriate supporting documents
  • Strong computer skills, including Microsoft Office applications, SAP, and Guardian

  • Successful completion of drug and background screening process.

 

In compliance with this state’s pay transparency laws, the salary range for this role is $38,240 – $57,360 This is not a guarantee of compensation or salary, as final offer amount may vary based on factors including but not limited to experience and geographic location. (The specific programs and options available to an employee may vary depending on date of hire, schedule type, and the applicability of collective bargaining agreements).
